Overview
All transaction done throughout CPACCESS
Financials will be displayed in the General Ledger. The features that
have been integrated in this area allowing a user to:
- View General Ledger in detail format
- Close the Fiscal Year for the company
- Produce and print financial statements and reports
- Build or modify the Chart of Accounts
- Create General Journal transactions
Summary
General Ledger
The General Ledger summarizes all the financial transactions of a company for a specific period of time. All postings from other sub-ledgers are accumulated and displayed for review and reporting purposes.

Budgets
A budget can be created for each account in the Chart of Accounts for each month of the current year to keep close track of your numbers.

Chart of Accounts
The Chart of Accounts form is the main area for displaying your accounts and the associated balances. Close attention was paid laying this form out in a way that is easy to follow. For added assistance, a built in wizard was created to assist users in adding new accounts. There is quick access to other key areas of the program from the Chart of Accounts, which may be helpful and those areas are:
- Accounting Periods
- Budgets
- Close Fiscal Year
- Default Accounts
- Opening Balances

General Journal
The General Journal form allows transactions to be entered that aren't specific to the Checkbook, Sales, Purchases and Inventory areas of the program. A user can use the General Journal to enter those types of transactions that are not readily categorized elsewhere in the program.

Recurring Transactions
The Recurring Transaction form was designed to provide users with the ability to take a completed Invoice, Deposit, Bill, Journal entry, etc and setup a cycle where that transaction is duplicated on a date range basis.
Feature Set and
Functionality
- Quick view of accounts and activity with ability to sort by date
range and fields such as Transaction number, Batch Number, Description,
and Amount. This enables locating desired data effortless.
- Set default accounts for processing transactions in Sales, Purchases,
Inventory, Receivables, Payables, Banking, Payroll and other miscellaneous
functions. This helps to eliminate erroneous postings by automatically
entering the correct account when creating transactions.
- Special form for entering beginning balances at conversion date.
Entries can be easily made and show in the General Ledger as "Opening
Balances". If necessary the entries can be unposted and corrected.
- Excellent predefined chart of accounts automatically created when
setting up a new company which can be edited or you can create your
own.
- Flexible alphanumeric account format that can vary for each account
while still providing the ability to filter on segments for reports.
- User friendly account set up and maintenance form makes report formatting
very simple.
- Ability to delete accounts with no activity. The delete function
can be password protected.
- Real time posting or batch posting by date range, all, or range
of transactions.
- General Ledger from previous years can be archived to enable viewing
if necessary.
- Ability to have 13 accounting periods.
- Easy input of budget amounts for current year or previous year by
month.
- Form that will allow you to enter budgets by a calculation instead
of by hand.
- Multi Currency enabled with ability to set each account with different
currencies.
- Ability to post charges to a job on a Journal Entry.
- Recurring Journal Entries with nine choices of frequency and reminder
when due for processing. This will help save time in repetitive data
entry and also ensure that important entries are not forgotten.
- Journal Entries can quickly be duplicated which is a great feature
if you need to enter the same or similar information as other journal
entries but they don't necessarily recur on a regular basis. A new
Journal number and current date will be entered automatically, but
data can be modified prior to posting if necessary.
- Ability to easily unpost Journal Entries that were entered incorrectly
but still maintain an audit trail. This feature can be password protected.
- Numerous reports available including Balance Sheet, Income Statement,
Cash Flow Statement, Trial Balance, General Ledger, Budget Comparisons,
and more, all with great sorting and filtering options.
