Overview

Simplicity and Ease of Use
We have designed the work flow and processes of CPACCESS Financials to work quickly and easily. The high pressure environment of a sales department demands the data entry and work flow be simple, easy and efficient so your employees can meet the demands of the customer fast. All the screens in this application have are designed the same and all functions of an order entry department can be managed from one screen.

Customer Orders and Picking Tickets/Packing Slips
Through the Orders and Packing Slips form a user has the ability to enter orders placed by your customers and convert those Orders to a Packing Slip that can be provided, if you choose, to the shipping department. Due to the vast flexibility in CPACCESS Financials, a user can eliminate the Packing Slip process and go directly to an Invoice if it is more in line with the business practice.

Customer Quotes
A special form has been designed where a user can enter a Quote for a customer on items they may possibly want to purchase from the company. This Quote can be easily converted to either an Order, or Invoice, based on the needs of the company.

Customer Credit Memo
When a customer returns items purchased, a credit memo is generated to return that inventory to stock, all associated accounts that where impacted by the sale of these items is affected, and a credit is generated in the receivables.

Back Order Generation
The system provides a simplified method for creating and managing back orders. During order fulfillment the system prompts the user when a back order condition exists and walks a user through a step by step process in creating the back order and purchase order if required.

Back Orders
Once a back order exists it must be satisfied as quickly as possible. The system uses the same streamlined interface throughout the sales order application to make it as easy as possible for workers to accomplish the sales function using the same functionality they use in the order entry process.

Drill Down
The system has extensive capabilities to recall detailed transaction records from all the screens in the order entry process. This allows for quick inquiry as to the status of a customer's order, detailed records on the customer's sales history or extensive information on the sales history of inventory items and pricing. Just find the transaction you are interested in from a summarized list and click the drill down button to take you to the original detail screens that created that transaction.

Extended Search Capabilities
Sales and Customer Service departments require quick access to data when customers are asking questions. Most times the customer cannot provide the order number or another key field that most systems require. With our extended search capability any particular piece of information can be used to retrieve the exact transaction the customer is inquiring about.

Feature Set and Functionality

  • One point of data entry into the system. Start with a quote, convert to an order, convert to a pick ticket or packing slip then covert that into an invoice without any re-entry of data.
  • The system does not require transactions be processed in any particular order. Take a quote and convert it to an invoice.

  • Add or edit customers and customer information instantly while entering an order.
  • Maintain or add customer contacts instantly from the order entry area. Unlimited customer contacts can be maintained.
  • Unlimited notes can be added to the order and printed. No limitation as to length.
  • Instantly duplicate a customer order from another customer order. Process that order as is or quickly edit it for new issues.
  • Add messages to an order for the warehouse workers or other clerical workers within the business.
  • On demand drill down capability to all prior customer transactions.
  • Instantly print, fax or email an quote, order, picking ticket, packing slip or invoice with the push of one button.
